Lucity 7.20 Enhancements: Project and Account Number Lookups

Welcome to the sixth in a series of blog posts that will highlight key changes and enhancements made to the Lucity software for 7.20.  This post discusses our new Project and Account Lookups and some of the places you will find them used in our software.  Additional topics in this series include:

Clients who are not using a custom financial integration with our software may find our new Account Number and Project Number Account Lookups useful.  Projects and Accounts are used throughout our Work Management modules including Work Orders, Timesheet, PMs/Templates, and Project Management.

Previously these fields were free text fields and would accept any value entered.  For the 7.20 release, we added the ability to use pre-defined picklists for these fields.  Project Number and Project Number Accounts are defined in the Work Flow Setup>>Account Numbers and Work Flow Setup>>Account Project Numbers modules.

By default the system will continue to treat these fields as free text fields.  The new picklist functionality can be enabled by turning on one or both of the “Force Use of Predefined Account Numbers” and “Force Use of Predefined Account Project Numbers” options in the Work Options module.

These new lookups are available in the Work Orders, PM/Template, and Project Management modules in the desktop software and are accessed by clicking F9 in the field.  The picklist will show a filtered list of projects or accounts based on what is already entered in the field.  For example, if a user enters “CIP” and clicks F9 in the desktop modules, the picklist will show all items that start with “CIP”.

The Timesheet application in the web also supports these new picklists.  When the option to force use of the account and project number picklists is on, a new green button which triggers the picklist will be available in the account number or project number field while in edit mode.

Account number and project number account lookups in timesheet are cached locally on the client machine.   They are not cached server side.  It is, therefore, not necessary to clear any server side caches to get the new values to be available for your users.  As new values are added to the account and project number lookups, users will see these new values the next time they open the application.  To force the data to refresh and show new values, the user can use the “Restart” button in the web application to restart their session.

Before using these new account and project number lookups, you should evaluate the current data in those fields.  Once the validation is enabled in work options, any existing data in the account and project number fields may be subject to the new validation.
