Lucity 7.30 Enhancements: Notifications Displaying Child Information

One of the most common enhancement requests for email notifications is the ability to include lists of child information from a work order or request on the notification.   For Lucity version 7.30 this is now possible!

The configuration for including child information in a notification is done in the Notification Setup module using  new keywords <#BeginRepeat #> and <#EndRepeat#>.

Here are some examples for how to setup notifications that include child information:

Display the first asset on a work order

The important part of this notification configuration is this line:

<#BeginRepeat 1 WKWOASSET #> [AS_LINK1] [AS_TEXT1] [AS_TEXT2]<#EndRepeat#>

Which tells Lucity to display the asset number and description for the first record from the Work Order Asset list in the notification.  This produces a notification that looks like this:


Display all assets on the work order

With one small modification, the notification can display all of the assets for a work order. Notice the following snippet which replaces “1” with “*”.  The “*” character tells Lucity to include a list of all of the items from the specified table (WKWOASSET in this example).  A carriage return was added as well so that each asset will be on a new line in the notification.

With this change, the new email notification looks like this:

Display all assets and all addresses for a work order

A notification can contain as many repeats as is necessary to produce the information needed in the email.  This snippet includes configuration for both assets and addresses:

There is a new work order for [WO_ACTN_TY] for the following assets:
<#BeginRepeat * WKWOASSET #> [AS_LINK1] [AS_TEXT1] [AS_TEXT2]
<#EndRepeat#>
At the following locations
There is a new work order for [WO_ACTN_TY] for the following assets:
<#BeginRepeat * WKORDERLOC#> [ADDRESS: WL_ADR_BDG,WL_ADR_DIR,WL_ADR_STR,WL_ADR_TY]
<#EndRepeat#>

and produces an email that looks like this:

    We use overdue notifications for our Utilities water sampling. They might have 20 locations to sample and we use the overdue notifications to tell them they still have samples to complete as they approach the end of the month.

    The functionality to include all the assets with the completion date is a great advancement. A suggestion for the future would be to allow users to include only WO assets that do not have a completion date (those needing to be done).
